A Boomi integration that picks up CSV files from an SFTP server and keeps NetSuite purchase orders, bill payments and reversals in step with research funding.
The challenge
Research funding arrives, gets paid out and is sometimes returned, and each of those events has to be reflected in the ERP. When the information arrives as flat files, someone usually re-keys it into NetSuite, which delays the books and invites mistakes.
How it works
- Secure file pickup. The process connects to the SFTP server using SSH authentication and collects the CSV flat files.
- Create or update purchase orders. Each row creates a Purchase Order in NetSuite. If the same PO appears in a later file, the existing PO is updated instead of creating a duplicate.
- Pay when funds arrive. When a file marks a fund as received (the paid flag), the matching bill is paid in NetSuite as a Vendor Bill Payment.
- Reverse when funds are returned. If a fund is returned, the vendor payment is reversed by creating a NetSuite Reverse Journal Entry.
Highlights
- Create-or-update logic prevents duplicate purchase orders.
- The full lifecycle (order, payment, reversal) is driven by one file feed.
- SSH-authenticated SFTP for secure transfer.
The result
Finance sees purchase orders, payments and reversals in NetSuite as soon as the files arrive, without manual entry.
